    Job Summary:

    We currently have an opening in our Loveland Corporate Office for an Administrative Assistant reporting directly to and supporting the Retail Leadership TeamConfidentiality is exceptionally important in this role. It is equally as important that the Executive Assistant be highly adaptable and thrives in a dynamic, deadline focused and fast-paced environment.

     

    Key Tasks:

    • Proactively provide administrative support, including preparation of documents, presentations, scheduling appointments/meetings, handling multiple calendars, preparation of expense reports, processing invoices, expense reports and managing travel arrangements;
    • Anticipate the team’s needs and make decisions to contribute to an organized work environment;
    • Balance the needs and priorities of various Retail Leadership Team members
    • Prepare documents of exceptional quality with minimal supervision for high level audiences;
    • Provide comprehensive administrative support in the form of scheduling and coordinating travel logistics;
    • Act as travel coordinator for Nutrien Ag Solutions to assist travelers with travel profiles, resolving problems and providing general assistance as required
    • Plan and organize meetings
    • Act as a liaison and point of reference for cross-functional teams and handling special projects as needed;
    • Manage working files and department filing system;
    • Consolidate information and compile reports through the application of well-developed skills in Microsoft Office (i.e., Excel, PowerPoint, Word, Visio, SharePoint);
    • Accurately track, monitor and purchase office supplies for Retail Leadership Team members to ensure department functionality.

    Skills:

    • Highly proficient in MS Office including Word, Excel, PowerPoint, Visio, SharePoint, and Outlook;
    • Working knowledge of SAP;
    • Strong attention to detail;
    • Strong written and oral communication skills and the ability to interact effectively with executive staff, service providers and various corporate personnel;
    • Superior time management and multitasking skills with a strong sense of urgency;
    • High energy and confident individual with demonstrated organization, prioritization and critical thinking skills as well as proven active listening skills; 
    • Demonstrated writing skills, along with strong verbal communication skills; 
    • Superior attention to detail with an excellent command of English grammar as well as experience of editing and proofreading documents; 
    • Strong team player with the ability and willingness to assume hands-on roles; and 
    • An adaptable self-starter with results-oriented work style.

    Qualifications:

    • Minimum of 5 years of progressive experience in an administrative role, with a minimum of 2 years supporting executive level teams;
    • Post-secondary diploma/degree or equivalent experience is considered an asset; and
    • Previous experience as a travel administrator/coordinator is an asset.
